How the e-learning platform is managed

The sections below explain how the platform is operated, what information is processed, and the responsibilities that apply when using it.

Who operates this platform

This platform is operated by Jake Morrison, trading as Jake Morrison Training & Consultancy.

Our data-protection role

Jake Morrison Training & Consultancy is normally the data controller for platform accounts, training administration, learner support, training records and certificates because we decide how those records are managed.

A sponsoring organisation may also be a controller for information it asks us to provide about its learners. Where a contract specifically requires us to process information only on an organisation's instructions, we may act as a processor for that limited activity. The relevant contract and processing arrangement determine the role in each case.

Information collected when you register

When you create an account, we collect the information needed to identify you and manage access. This usually includes your first name, last name, email address, username, organisation where applicable, and authentication method.

Your email address is used as the main contact point for account and course-related communications.

Information recorded as you learn

As you use the platform, we record information needed to deliver the course and confirm participation or completion. This may include course enrolments, access dates, course progress, quiz attempts, scores, completion status and certificate records.

A certificate may include your name, course title, completion date and relevant certification details. Certificates may be stored on the platform so they can be accessed, checked or reissued where appropriate.

Technical and security information

The platform may record technical information such as login activity, IP address, browser details, device information, failed login attempts and system logs. This is used to operate the service, investigate faults, protect accounts and prevent unauthorised access.

Why we process personal data

We process personal data to provide and administer training, manage accounts and enrolments, record progress and completion, issue certificates, communicate with learners, provide support, maintain business and training records, and protect the platform.

Depending on the purpose, the lawful basis may be performance of a contract or steps requested before entering a contract, legitimate interests in administering and protecting the training service, or compliance with a legal obligation. Where legitimate interests are used, we consider the necessity of the processing and its effect on learners.

Selecting I agree accepts the platform terms and acknowledges this privacy information. It does not make consent the lawful basis where another lawful basis applies.

Hosting and service providers

The Moodle platform is hosted on a Virtual Private Server provided by Hostinger. We also use service providers where needed for email delivery, authentication, backups, security and support.

If you use Google or Microsoft to log in, that provider authenticates your identity and returns the account information needed to complete the login. Course progress, quiz scores and certificates are not sent to those providers merely because you use them to authenticate.

The platform currently requests the Plus Jakarta Sans typeface from Google Fonts. This creates a connection between your browser and Google's font service and may disclose routine connection information such as your IP address and browser request details.

AI-assisted features

This platform does not currently use AI-assisted features to make decisions about learners.

If an external AI service is introduced in future and personal data will be processed through it, the arrangement and privacy information will be reviewed before that processing begins.

Cookies and similar technologies

Moodle uses cookies and similar storage technologies that are necessary to keep you signed in, maintain session security and remember essential preferences.

We do not use third-party advertising cookies or behavioural advertising on this platform. External content or services used by a course may make their own requests or use storage technologies; where this applies, the relevant course or service information should explain it.

Who information may be shared with

We do not sell personal data.

Where an organisation commissioned or sponsored your training, we may provide the information agreed for that arrangement. This may include whether you have enrolled, started, completed or not completed a course. We do not provide quiz answers or detailed learning records unless this is necessary, lawful and clearly agreed.

Where a course is externally accredited or requires certification by an awarding body, we may share the information needed to confirm completion, issue certification or meet the relevant accreditation requirements.

Information may also be shared with service providers acting on our behalf, professional advisers, insurers, regulators or law-enforcement bodies where this is necessary and lawful.

How long information is kept

We normally retain account and completion records for up to three years from your last platform activity, so that training records and certificates can be checked or reissued.

Some records may be retained for a different period where this is required by a contract, accreditation requirement, legal obligation, insurance requirement, dispute, complaint or other documented business need. Records that are no longer required should be deleted or anonymised in line with the retention process.

Security

We use proportionate technical and organisational measures intended to protect platform information against unauthorised access, loss, misuse or disclosure. These measures include access controls, secure authentication, updates, backups and security monitoring.

No online service can be guaranteed to be completely secure. If you believe your account or personal data may have been compromised, contact us promptly.

Your rights

Depending on the circumstances, you may have rights to access your personal data, ask for inaccurate information to be corrected, ask for deletion, restrict processing, object to certain processing, or receive certain information in a portable format.

These rights are not all absolute. For example, some records may need to be kept where there is a lawful reason to retain them.

Learner responsibilities

You must use the platform only for your own authorised learning. You must not share login details, access another person's account, copy or distribute restricted course materials without permission, interfere with platform security, or use the service in a way that could harm other users or the platform.

If you believe your account has been accessed without permission, contact us as soon as possible.

Changes to this agreement

This agreement may be updated when the platform, law, service providers or training arrangements change. Where a material change affects how personal data is used or the terms on which the platform is provided, updated information will be made available and a new acknowledgement may be requested where appropriate.
